Our simple process
Time is money. Your time. And my time. We have a simple process to get started on our business support process.
We also believe in communicating clearly. And this is where our negotiation and onboarding process comes in. You know exactly the steps of the process.
Step 1
Our initial call.
This is where introductions happen. I love to hear about the wonderful businesses my clients build, what the crux of their business is, what makes them excited about their businesses and where they’re off to in their business.
I’ll introduce you to my business if you haven’t already read on the website who I am and where VA Savvy Services was born.
Finally, we’ll get to the objective of the call: what is your pain point? How can VA Savvy Services help you, support you, bring calm and order in your business? What are your needs, and potentially the synergies between your business and mine?
Step 2
Formalities and compliance.
VA Savvy Services strives to build long-term relationships with all our clients, and to achieve that, the foundation should be strong.
We keep everything in writing to protect you, our client, ourselves (VA Savvy Services and all our contractors) and to have an instruction to work from.
Our contract and NDA must be signed before the commencement of the first invoice (Step 3) is issued, or any work is done.
Clear communication and above board are very important aspects of VA Savvy Services
Step 3
Payment process.
VA Savvy Services invoices our clients for the month ahead. And new clients are no different. No work commences before payment is received (and cleared).
Formal invoices are issued every month on the 24th for the next month and are payable by the last day of the same month eg. invoice date 24 January 2026, payment by 31 January 2026. All payments via EFT and no cheques, IOU’s or credit.
We do not accept crypto, vouchers or other forms of payment. Strictly FIAT money.
Step 4
Onboarding.
Via email, we will send your fully signed agreements for your records. Along with other information, which we will discuss in this onboarding call.
Part of onboarding is the discussion and exchange of the details of your business expectations. We cannot proceed without this call.
Our objective is always to remove friction from your business, not add to it, and this is one of the first steps toward calm.
FAQ
Are there any hidden costs other than the retainer fees?
The retainer packages include the time, services and tasks provided by VA Savvy Services.
Fees for software licences, registrations, deposits, etc., required for the tasks to clients, are for their own business/personal account.
What turnaround time do you provide for task completion?
The time we spend on a task depends on the task, e.g., bookkeeping tasks seldom take a mere hour or two for an SME, but travel arrangements might take an hour or two, depending on the specific requirement.
Therefore, we can’t commit to a specific time until we’ve worked on the specific task for the specific client for more or less a month.
Our time is allocated to the agreed-upon time from the retainer; e.g., 3 hours per week will allow for that amount of time available to the respective client.
We do endeavour to communicate frequently while working on a specific task and the progress we’re making.
Do we conduct on-location meetings or services?
All meetings are conducted via Google Meet. And all communication, such as tasks are submitted via email to the email address given to the client during Step 4, the onboarding call.
VA Savvy Services is a business support partner that can give the necessary support we do because we do not have additional expenses such as travel or office rental, etc. Remote work enables us to give excellent service at affordable rates.
Can the retainer packages be changed?
There are 4 retainer packages for you to choose from. With a month’s notice you’re welcome to upgrade or downgrade between the packages.
I suggest a client to start on the lowest retainer until they’re comfortable with how we work and we are comfortable with the client’s expectations.

What happens to my unused hours?
Unused hours do not run over to next month. We focus on efficiency and focus within the hours available to us. You are welcome to downgrade with 1 month’s notice to suit your needs.
I would like to see examples of your work.
VA Savvy Services work in absolute confidentiality. We sign an NDA with each client and each contractor that we work with. Therefore, we do not make other clients’ documents, tasks or instructions available.
